Minutes of the Meeting of the Parish Council held on Wednesday 9th November 2016 at 8.00 pm in Godmersham & Crundale Village Hall

Present            :     Cllrs Spencer (in the Chair), Taylor, Gee, & Fisher

In attendance:     Mr. Eaton, Clerk to the Council

Action by:

1 Apologies for absence

Apologies were received from Cllr Grayson & ABC Cllr Dehnel

2 Declarations of Councillors Interests

Cllr Spencer declared an interest in the Coach House planning application

There were no other declarations of Cllrs interests regarding items on the agenda

3 To approve the Minutes of the last Meeting

The Minutes of the Meeting held on 14th September 2016 was amended approved and signed

4 Matters Arising

Call Flow update – there were no current issues with the service

Email from David Lloyd re Flooding/Emergency Plan – will send Plan in due course

Email from Southeastern re lorry hitting Railway Bridge – take these reports seriously

Email from Kent Highways re additional speed sign on A28. It was agreed that another approach be made to KCC Cllr Wickham advising that there was now space for a sign as some trees adjacent to the carriageway had recently been removed

There were no objections to this application

16/01575 – The Coach House Eggarton Lane

Demolition of outbuilding and erection of garage with ancillary annex accommodation

There were no objections to this application

2015 -2016 Internal Audit Report

David Buckett’s Internal Audit report (circulated by email) was discussed and the Clerk asked to summarise his findings/recommendations and to draft various policies which once approved would be put onto the website. The Clerk was also asked to contact David regarding out sourcing the payroll and to thank him for his report

The Finance Report for April – Sept 2016 was discussed and approved

8 Parish Council Welcome Pack

There was a general discussion about the draft Welcome Pack and it was noted that most of the information that new Parishioners would need was contained within the Village magazine. It was therefore agreed to pay for an annual subscription to the Village magazine for all new households. The first copy of the magazine would be delivered by a Parish Cllr by way of introduction. It was hoped that they would then continue to subscribe to the magazine and to get involved in Village activities. Clerk to contact the Sarah Lindsay regarding this

10 AOB

Cllr Spencer reported that she would be resigning from the Parish Council after the Annual Parishioners Meeting in March 2017. Cllrs Gee, Fisher & Taylor thanked Caroline for her hard work and commitment to the Parish over many years

It was agreed to contribute to the Village Hall grass cutting as proposed by the Village Hall Committee

11 Dates of Meeting in 2017

It was agreed that the next Meeting would be held on 11th January 2017 at 8.00 pm in the Godmersham & Crundale Village Hall

Dates for other meetings in 2017 were agreed – 8th March (Annual Parishioners Meeting 7.30pm start) 10th May, 12th July, 13th September, 8th November

There being no other business the Meeting closed at 9.20 pm
